How we look after personal information

Last updated: 8 October 2026

This policy explains how CarefAI Ltd uses personal information when you visit this website, contact us or book a call, and when we get in touch with care homes about Family Bridge. We have tried to write it plainly. If anything is unclear, please ask us.

The short version

  • We use only what you give us when you contact us or book a call, and the work contact details we use to reach care homes.
  • We never sell personal information, and this website uses no advertising or tracking cookies.
  • You can ask us to stop contacting you, or to see, correct or delete your information, at any time.
  • Family Bridge itself has its own privacy notice, which care homes, families and residents receive before anyone takes part.

1. Who we are

This website and Family Bridge are run by CarefAI Ltd, a private limited company registered in England and Wales, company number 16493703. Our registered office is at 167-169 Great Portland Street, 5th Floor, London W1W 5PF.

For anything in this policy, email us at our privacy email or write to us at our registered office.

2. What we collect and why

When you contact us or book a call

We collect your name, work email address, phone number, organisation and role, what you write to us, and the time of any call you book. We use this to reply to you, to arrange and hold calls, and to discuss whether Family Bridge suits your care home. We rely on our legitimate interests in responding to enquiries and running our business.

When we get in touch with you

We may email care home owners and managers at their work address to introduce Family Bridge. We use business contact details that are publicly available, for example on a care home's website, or that someone has passed to us. Every such email tells you how to opt out. If you do, we will not contact you again, and we keep only your email address on a do-not-contact list so that we can make sure of it. We rely on our legitimate interests in telling care homes about a service that may help their residents.

When you visit this website

Like most websites, the servers that host this site automatically record basic technical information, such as your IP address, browser type and the pages you visit. This is used only to keep the website running and secure. We rely on our legitimate interests in doing so.

3. Who we share it with

We share personal information only with companies that help us run our business, under contracts that require them to protect it and to use it only on our instructions. They provide:

We may also share information if the law requires it, or if CarefAI Ltd is reorganised or sold, in which case this policy would continue to apply to your information. We never sell personal information.

4. Where it is stored

Some of the companies we use may store information outside the UK. Where they do, we rely on the protections recognised by UK law, such as UK adequacy regulations or the International Data Transfer Agreement.

5. How long we keep it

InformationHow long we keep it
Enquiries, call bookings and call notesUp to 2 years after our last contact with you
Work contact details we use to get in touchUntil you opt out, or up to 2 years after our last contact with you
Do-not-contact listFor as long as we contact care homes, so that we never email you again
Technical website recordsFor a short period, only as long as needed to keep the site running and secure

6. Cookies

This website does not use advertising or tracking cookies.

7. Your rights

You have the right to ask for a copy of your information, to have it corrected or deleted, to restrict or object to how we use it, and to receive it in a portable format. You can object to being contacted at any time, and we will stop. We will respond to any request within one month.

8. Family Bridge in care homes

When a care home starts using Family Bridge, the care home, families and residents receive a separate privacy notice for the service before anyone takes part. It explains what information Family Bridge uses, how consent works for residents and families, and how long information is kept. Nobody takes part without opting in, and Family Bridge is built to keep its information in the UK.

9. Complaints

If you are unhappy with how we have handled your information, please tell us first and we will try to put it right. You also have the right to complain to the Information Commissioner's Office at ico.org.uk/make-a-complaint or on 0303 123 1113.

10. Changes to this policy

We will update this policy when the way we use information changes. The date at the top shows when it was last updated.
